    Handles very well the management of visitors and rooms

    Summary: I can't get over how well you can manage visitors and rooms in one place, Envoy seems complicated at first glance as it has several applications that have a lot of tools, but it's not. From the experience I have had with the use of this platform, I can mention that the design environment of this platform is very easy to use and that, with its modern interface, makes it accessible for users who want to control the visitors that arrive. to your company, having a wide range of functions, tools and integrations that allow you to provide a good experience for both guests and employees of a company.

    It is very innovative to be able to print badges for visitors when they enter the facilities and start the section or register to be attended by the employee corresponding to the visit. The management of the rooms is the most complete feature since it has many tools that allow the administration of the different work environments that can be very hybrid within normal working hours. This also provides greater security and better welcomes employees and visitors by showing the different spaces available and thus being able to better organize workspaces within a company.

    Positive: It connects very well with Microsoft and Google workspaces, so information from documents and emails can be useful in the Envoy when you need it. Thus, it can also be integrated with another platform such as Slack and Zoom communication, being able to connect the communication of these platforms with the notifications of the workspaces that may be available, as well as when a visitor is within the work area. or in the reception section. Another integration that I have found useful is that of DocuSign, where agreements can be signed and sent through Envoy at the time of a client visit, so I can say then that Envoy is like a visual space that connects with the world. physical.

    The maps are very fully interactive, I like the dynamism within Envoy in terms of creating and laying out areas within my work and that this relates to both which worker is using a space and where visitors are currently. The reservations of spaces or rooms mean that the workers of a company do not interrupt others when they are in important meetings or when they are with a client, as well as knowing who is occupying certain rest areas or occasional work. All this can be seen inside my smartphone without having to go to my computer to check the availability of the rooms or see the visitors that I have waiting, making everything more practical and that you can have a flow within the spaces of my Work more efficiently without overlapping or crowding meeting areas.

    Contactless logins are very practical and have worked well during and after the pandemic, avoiding wasted security equipment by not having to use them all the time, but everything is connected through the smartphone and also from Regarding the virus, we have opted for this measure to continue working to avoid contagion and that in the near future, as we currently are, more diseases are avoided due to contact with devices that are used concurrently. That is why it is very practical to access rooms without having to use the fingerprint or the access pin of the security doors. Not only have these things been used for contactless login or access to rooms with the mobile phone, but it is also very useful with security since I can give access or not to the visitors that I have, having more control and security so as not to have unauthorized intruders, this together with the right-hand registry of the lobby is complemented in order to have a complete ecosystem for visitors and room management.

    Negative: I do not like that it is only limited to being able to use the iPad with respect to having a device for the registration of people who do not have Envoy downloaded on their mobile devices, this limits having to choose a certain hardware and that it does not give more possibilities and search profitability with the quality and price that can be found in other devices, especially Android. A good alternative to cut costs is to use cheaper iPads that have the iOS 15 version, however, this does not guarantee that in the future the Envoy will require a higher version of iOS and that I will have the possibility through a hardware update. to use Envoy in future updates. Therefore, Android becomes a good option, being a better alternative due to its operating system, which most of its applications are from version 5 to 7, as a minimum requirement to install Apps, even knowing that the current version of Android is 13. In addition to acquiring recent equipment, they mostly have the version of Android closest to today and they are not even high-end equipment. Therefore, they should rethink the iPad version for Android devices as tablets that do the same function at a lower cost.

    The prices are not as affordable as it seems, there is practically no difference between the free and standard version, so if you really want to receive more features, you must opt for the Premium version to have better control over visitors. I feel this is a bit forced by Envoy wanting users to opt for higher plans instead of being flexible with the features that each user or company needs and from there have a set price or just make special packages that contain more variety. This can make it very impractical for some companies, especially small ones that need certain characteristics and that do not have a large visitor traffic, causing a negative profit in relation to what is actually being invested.

    I can more easily regulate visits within my company.

    Summary: The most practical function that I could give to this platform was not only being able to register all the visitors that my company has, but I have also made it very useful when registering employees, this in order to have a single system entry of people regardless of whether it is a visitor or a worker. With this platform I have been able to regulate visits and carry out in-depth monitoring of what time a person entered and left my company's facilities, thus maintaining good security, control and order so as not to cause problems in the workflow.

    The truth is that I would like it to be more fluid and faster when loading users when they are going to start a visit. I say this because sometimes you have to wait until the platform loads, even after the application has been previously loaded so that visitors do not have to access anything else but simply this platform. So improving performance and also being able to use this platform with my company's internal network would be nice to make accessibility and ease more practical for all my company's visitors and workers.

    Positive: + I like how visitors of any age can be able to enter my company's facilities, with a couple of clicks they are already being informed of their arrival without practically needing the help of a receptionist since everything is done digitally. Also, I love that it always notifies me of the number of visitors in the queue and the different visitors for different workers within the company, thus having more control and security when it comes to knowing who enters and leaves my company's facilities.

    + Its visitor data storage system is very solid, I was able to obtain names, photos and a signature to be able to determine who was entering the company without the need for the receptionist to notify me and without having to keep an eye on who is coming and going since no one can skip the registration panel since I always have a security person who forces my visitors to have to register within this platform and thus I keep my company safe from intruders.

    + I found it very helpful that visitors could easily get a printed ID card automatically without having to go to anyone. In addition, this platform allows me to create an early profile of my visitors before they enter my company premises so they only have to identify themselves and receive their identification card. Also, the identification card that this platform prints is disposable, so it may not work for upcoming visits since they are for single use, so the risk of intruders to my company is reduced by only having unique cards for each person and for each visit that takes place on different days.

    + It is very practical to be able to export people according to a selected time range. Sometimes I forget the names of certain visitors and generally in those cases I do remember the day or time I had the meeting with said person, so I only have to export the contacts that were there during that selected period of time and so I was able to remember the person who had forgotten his name. Another way in which I have made this feature useful is that I have had workers who misreport their arrival time and this platform has made it easier for me to clarify the harshness regarding the arrival time of each of the employees thanks to the fact that everything remains registered within Envoy.

    + I have been able to help visitors notify them that I may be busy without telling them, when visitors want to join a meeting with me they can see my status and also how many visitors are ahead if they are. This improved communication and the flow by which people go to a meeting within my company.

    Negative: - Sometimes it tends to get slow and I don't like it, even if I have a good internet connection this platform gets slow. I would like it to be able to work with an internal network so that there are no problems when the internet connection fails or this platform is offline due to some maintenance. This would allow the flow of people not to stop when receiving visits, since for my company It is very important to give full attention to customers.

    - There is a lack of updating in certain parts of the interface of this platform, generally everything is intuitive, practical and easy to handle and manage visitors. But there are certain parts that are still with a much earlier version of this platform and it is annoying because it has not changed at all and it is confusing when there are more options and features that are missing when its interface is not completely updated.

    - The login for each user is very slow, despite the fact that within my company there are already a large number of users already registered, it is difficult to be able to register a visit quickly, in addition to the aforementioned that it takes time to load sometimes . So if I could have a little more optimization within this platform it would be nice to maximize the inflow and outflow of visitors that are generated within my company's facilities.

    - It should have a better facility for people who recurringly visit the company, by this I mean being able to have an app which recurring visitors have and they do not need to use the company's IPad to make a record. It could also be useful if you could recognize a visitor through the Wi-Fi network and only have to report from your mobile phone that you have arrived as a visitor, thus saving more time and decreasing the waiting for visitors when several visitors arrive at the same time.

    Summary: A very good experience for visitor sign-in management and hot desk allocation and booking, would recommend above other tools and systems in this sector.

    Positive: How intuitive the system is to use and manage through ipads for signing in and the web dashboard to control, manage and track visitors. The desk booking via the envoy app and health check questionnaire for staff returning to work onsite is a very useful addition at this time.

    Negative: The badge printing is in black and white and there is no options to change the badge templates with the company designs and backgrounds. Would be good to have a physical QR check in for staff who book hot desks to confirm they are physically on site at the correct desk, each desk has a unique QC code with is number and location. These could be created in envoy and printed out and placed on the corresponding desk.

    Summary: Great experience overall. Good customer service. I like that I can see several different locations that use the Envoy system on one website. I do wish that our aristocrat email for employees was already populated when signing into register in the office. It was populated before, but now we have to type in our whole email on the iPad into the Envoy app.

    Positive: App is easy to use and navigate. I like that as an administrator I can see who is in the office at any given time. I also like how you can pre invite a guest into the office and receive a notification from the app.

    Summary: Overall, Envoy Desks has been extremely helpful in our phase 1 reopening plan. It's user friendly portal is easy to access from our employees and very straight forward. I think this a great tool to use for offices who have hybrid, remote, and in-office employees.

    Positive: Envoy Desks makes office tracking so much easier! From seeing who's going in to health check reminders, Envoy Desks does a great job at keeping in-office employees "in the know" of what to expect during their office visit.

    Negative: I wish Envoy Desks had a feature to "sign out" so that folks can have more of a live view of who's really in the office at any given moment. This could also give other folks a chance to go on site in the cases where people are in and out of the office.

    Summary: It just works. It's easy to setup, easy to maintain, and easy to configure. Looks very professional and gives us the tracking abilities we need.

    All the features we needed on one platform

    Summary: We initially started using one part of the Envoy platform. When our offices started planning our reopening strategy after Covid-19, we reached out to see if they had a solution for us. They did, and within a few weeks, we were up and running on their beta test. Overall Envoy is a great company, with employees that really seem to care about their product. I'm looking forward to see what their next addition will be...

    Positive: One of the most user friendly platforms that I have used when it comes to managing visitors, deliveries, and now covid-19 self testing, and capacity tracking. The platform is not only easy for our internal users to set up and use, but I have gotten feedback from our visitors that it's convenient for them to use as well.

    Negative: While it's rather easy to use as a whole, if you need to extract data, and run reports, it's cumbersome, or not able to do at all. Seems that a lot of thought and planning has gone into the product, but not as much when it comes to running reports, etc...

    Positive: I love not having to write down who received a package, who it was from and when it was delivered. No I just take a photo of the label and they are automatically notified they have a package. For those that receive many packages, I had "nicknames" set up in the system. I also don't have to remind them that they have a package and need to pick it up as they system does it for me.

    Negative: Sometimes the system locks up when it can't find someone's name, and there are times when it just is very slow to respond. This eats up the battery time.

    Summary: My experience thus far is super positive. I just wish my EH&S guy would get the info out to my employees - I'd like to have started using it last week :-)

    Positive: Our company has used Envoy for quite a few years. With this Covid-19 episode in our lives I was happy to find out that Envoy was addressing it with a touchless entry program. I have recently set it up and it works well. I am waiting for our EH&S person to document it all and send out instructions to all our employees so that we can roll it out.

    Negative: While setting it up I did find myself confused a couple of times. That is the only Con that did not last very long. The Support Team answered my questions within minutes.
    I hope that vendors, guests and contractors will be able to take advantage of this.

    Summary: Overall, I love the program. It would be close to perfect if a few of the small things could get better but we have been making due with it so far. Thank you so much for allowing us to use this program and making our days better!

    Positive: It definitely has made our driver check in a lot easier and love how all who are signed into Envoy can see which drivers are there and their info. For the most part it has been a great addition to us! Especially me since I do most of the check in’s

    5. The picture has come in handy a few times

    Negative: 1. On the computer screen, the left side (home, visitors, deliveries, employee directory) cannot be resized which means that the driver check in info has to get reduced instead. It would be very nice to be able to resize that whole left side if you would like.

    2. We have 30-60 driver sign in each day and it would be awesome to be able to highlight somehow the driver that I am looking at so they don’t get mixed up with another while I am pulling paperwork. I use the check box on the left but if I have to change anything those check marks go away so I have to recheck all drivers that have been checked in. Would love for the check marks to stay. Also, when you utilize the check all box up top it then makes the column headers go away.

    3. If a truck is signed out by mistake there is not a way to resign them back in or reverse it. We try to keep track of times so this would be helpful

    4. I have been told by a couple of Russian drivers that the Russian translation is not correct but I have no way to double check without going into my translation append checking each one

    5. We have quite a lot of Spanish only speaking drivers and they have to use the Spanish translation for them to check in. When it show up on my screen it appears in Spanish, which I don’t speak, so I have to have a cheat sheet that shows me each question. As many times that I look at the English version you would think that I would remember when looking at the Spanish version but I don’t. Luckily we haven’t had to use the Russian version because then I would have no idea what they wrote. Is there a way to translate their sign in choices to the language of our choice on our screen?

    6. We will also be in the middle of our day and randomly a sign in box will appear so we have to sign back in with user name and password before we can continue with the day.

    7. At the sign in desk, if I make a change to a drivers info, it does not update on the other users screens unless they refresh their page but then they have to know that a change has been made.

    Facilitates the management of visitors in a very simple way.

    Summary: It has allowed us to have a good management of the visitors that are arriving since it greatly automates the way in which visitors are received, it has practically expedited the work of the receptionists since there are very few things that have to be done since first you have to go through by Envoy to be able to be accepted as a visit and also that each visitor has a unique badge and that will last for the duration of the visit, thus improving security within the work environment by having better control of visitors.

    Envoy has made it easier to meet for meetings since visitors can pre-register without having to go directly to the offices, this solved many problems during the pandemic where crowding in closed spaces was not allowed. Currently the same method still works as it is more practical to be able to schedule a meeting than to go directly to the office to schedule a meeting or find out if a worker is available.

    Positive: * The allocation of rooms is the best that this platform has been able to have since it allows to have more orderly spaces in a virtual way without the need to contact me directly to be on the site to find out if there is space available, but simply see the availability of the spaces waiting, that's what my clients liked the most every time I receive visits from them. This solution allows for a better flow of people at the time of having visits, since it avoids crowding within a workspace and also helps visitors not have to waste their time waiting or finding out if there is a place available for waiting.

    * It is easily configured with practically any iPad and can also be synchronized with email to receive notifications of visitors who are arriving. Thanks to the iPad I can have visitors without the need for them to have downloaded the application, but simply have a record on the iPad and if they are frequent visitors, they simply identify themselves since this platform manages its database very well, which allows for a large number of stored visitors.

    * You can have a complete map of the visits and the availability of each work team, this has been very useful for me since this platform is not only for people who are going to visit company workers, but also allows between employees verify the availability of each work team. This helps not to interrupt a worker when they have a visit and also when company personnel do not want to receive visits of any kind, both internally and externally, thus not interrupting the work of someone else since there are times when it is required concentration at work.

    * I have noticed that visitors have no problems using this platform either the mobile version or when they use my work iPad to register or log in for a visit. Very few people have had problems trying to use this platform for the first time, but once they got the hang of it, they did not need assistance from the receptionist to be able to use the iPad to verify their identity to be received as a visitor. This has been a benefit since it does not make visitors stagnant when they need to register, but it simply seems like any form where they put their information, photo and a signature to have their badge and be able to go to the facilities.

    Negative: * It would not be bidding a chat function that allows visitors to have direct contact with the people to whom they are going to go. This would help to improve communication in case of delays or any inconvenience, thus not only limiting that, if the user is notified of the availability of the person they are visiting, but also having communication for any occasion that is needed enter the person who will receive the visit as the visitor.

    * The administrative control panel of this platform in its mobile version is a bit limited compared to all the tools that are available in the desktop version, so it is a bit tedious to have to go to the desktop to make changes having the possibility to do it through my mobile device. An example of this would be the ability to log in or out of each of the visitors, this would improve the flow of visitors that they have during the day since it would save time doing everything on my mobile phone without having to go to my desktop as I would have full control in the palm of my hand.

    * On some occasions visits tend to double when there are several people sharing the same space, this failure has caused confusion several times within the workspace, wasting time trying to find out whose turn it was to visit. The room app should be better designed to allow multiple users in parallel within the same room so that visitors do not have to struggle to find who they should meet or where, but simply choose directly within the app and correctly mark their location.

    * The synchronization with the calendars of other platforms sometimes fails, it takes a while to be able to see an assigned meeting reflected, it is not done in real time even knowing that Envoy can be directly integrated with the Outlook calendar, which is the one I currently use the most to have organized all the events of my day to day. I hope they correct this problem since sometimes it has taken a day for the scheduled visits to be reflected and this was a problem since I did not realize it and I thought that I had that day free to carry out other activities within my working hours or receive another visit, but I noticed that a scheduled visit was marked on Envoy's calendar, so I almost missed that meeting with the client.

    A strong tool for visitor management.

    Summary: I have been able to solve the problem of the administrative management of the receptionists since it was chaos when we had many visitors within my company and also certain confusions occurred when guiding visitors since I generally did not understand very well which room to enter. So with this we were able, in the first place, to keep track of who enters the facilities, since each person must necessarily keep a record to be able to enter any room or even the waiting room, and the second is to be able to have good management when time to show the available seats in the waiting room and if the company staff is busy with a visitor or not.

    With the integration of this platform with others, I have been able to streamline certain processes with clients without them having to install more platforms within their device and also allowing me and the work staff of my company to use the same platform that we have always been using and connecting it with this making us have a better workflow without getting lost or using different platforms to be able to carry out this integration.

    With Envoy it has been very easy to have a record of all the visitors we have had, we have also obtained notifications when a visitor arrives without having to have interruptions when a person arrives, but we can simply see the mobile application to see how many visitors we have now. This is counters or independent for each person since it can be confused again if it is seen in a general way unless it is an administrative person who wants to review visitors in a general way.

    Positive: It has an integration of a large and extensive catalog of applications or platforms that can be connected to Envoy. This makes it very useful for visitors and company personnel to have more control and utility to not only use this platform to register visitors, but also to go a step beyond this. There are several tools that I use connected to Envoy to be able to have a good integration of different platforms to it, one of the functions is to be able to synchronize Google Calendar to schedule an event of the future visits of each user within the company and this also helps to have annotated events automatically to Google Calendar facilitating the entire workflow. This platform is also synchronized with the one who is going, thus having a closer notification on the same communication platform for when a visitor is near or within the facilities that have been previously programmed with Envoy. One last more useful integration that I give to this platform is the possibility of sending documents with DocuSign and for visitors to sign documents digitally, good in this way saving money on printing since everything is kept in the cloud.

    I can set up rooms and waiting spaces for visitors so I can have a clearer perspective of when a visitor is inside my company premises. This was very useful for me since I did not have to leave the personal office cubicle prepared to receive visitors, it has also been very important for me to know the available positions, which in this case has been very useful for the visitor, who can know if there is space to be in the waiting room. I have also been able to have data on whether another coworker is busy with a visitor, so I don't interrupt him when he has a meeting.

    The interface on any device is very practical and any visitor can understand how to use this platform either for mobile devices or using an iPad within the facilities to register the visitor. So that's why I selected this platform to track visitors because it's easy to handle regardless of age, since it's a very complicated platform, it would be a headache for people who can't understand how to register within the facilities. from any company.

    Negative: The mobile application for Android devices has certain disadvantages since its performance is not optimal on some devices, therefore this means that many visitors do not like to use the mobile application to register their visit within the offices of my company. I would like it to have the same optimization that Apple users currently have since the platform on iPhone mobile devices has no problem and its interface is very fluid, so there would be no problems when recording visits to any facility that use this platform.

    I would like that they already integrate a Chat within this platform for mobile devices in order to facilitate communication between visitor and host, since although it can be used for the way in which I can include visitors, it is a bit uncomfortable to be able to work in different platforms for the same purpose. Likewise, I can also use social networks or instant chat such as WhatsApp or Telegram, however I prefer to keep my privacy and integrity safe since they are data that I do not prefer to give to everyone. So a Chat integrated within this platform will be an efficient solution to maintain the most effective communication between a company employee and a visitor.

    On mobile devices I would like to have an option to filter the rooms since in an environment where there are too many rooms created it is very difficult to track a visitor, it would be the most useful and practical to track all visitors to specific rooms as well you want to select without having to go through the manual search process. Having this tool within mobile devices would be the most practical way not to use the computer but to already have it in the palm of my hand and at any time within my company to be able to carry out a more practical and effective search.

    Summary: It has been an excellent solution for me and a great help for the receptionists of my company, it has been practically a hands-free when it comes to filling out paperwork for visitors. By this I mean that it made it easy for us to keep detailed records about visitors such as their photo, arrival time, why they want to come in, signature, etc. All this without having to do extensive paperwork on the information of the visitors since everything is digitally registered, including their signature. The use of this application on a day-to-day basis within my company is very convenient because it is easier to be able to register the income of people and also know the time of arrival and departure to have more control over the visitors who arrive at the company. . So the logistics of the people who arrive was easy to handle, thus being able to achieve good management of the schedules for the office staff that will receive the visits and there is no mess when it comes to letting the visitors in.

    Positive: º It integrates very well with Slack since if a visitor notified their arrival and selected a host then they can notify them through it. Thus, the host would not only have email notification of its visitors, but also within Slack it would be notified about the visitors that arrive in case a company has it implemented.

    º Facilitates the entry of recurring users since they do not have to do much to be able to enter the registry within the offices, but simply search for their name and everything will be there. So waiting times are shorter and you don't have to do paperwork for returning visitors to speed up the entire receptionist work process.

    º Label printing was the strong point of this application. Being honest for the reception of my company it was an easy task to be able to carry out its work thanks to Envoy, it usually only gives support on the use of this application when it comes to attending to the visits since Envoy does all the work including the to print a small label to identify the person who is visiting. The bad thing is that it is not reusable and I would like it to be that way since it would only be enough, for example, to scan a QR code of the label already printed previously.

    º Detailed information of each visitor can be obtained, as well as which building each visitor is wanting to enter. It sounds like a movie, but it is the most normal, so it facilitates the control of where only the visitor has to go and thus have everything more organized and not only have a label saying who is going to visit but where it is located within the business.

    º The customer service gives quick answers to my concerns and that is a good positive point for this application. In addition, its price is more competitive compared to others, thus being able to stand out among good options for similar platforms.

    Negative: º I have had problems with some people about its use when they are going to handle this platform and enter their data or identify themselves at the time of being at the reception. I would like it to be a little more intuitive or that it could have an option of whether it is a "new user" or not so that you can know or show an audio tutorial while you fill in the fields that appear on the screen. All of this would be more comfortable to work with, since it would not be necessary to leave the desktop to explain the use of Envoy, but rather it would be easier and more practical for visitors.

    º A function where you could notify visitors if you are occupying a space within the parking lot would be nice. Just as this platform notifies the number of visitors in queue, they should also mention the parking capacity that is available, thus facilitating entry and the number of visitors who can stay in case they are in a vehicle and want to park it.

    º I wish you had more discretion with people who do not need to sign in whenever they are required to enter the office. As for example it would be the executives, I would prefer it to go beyond keeping track when you want to know who is waiting and not just the visitor, suppliers and staff. This way I would have more control over the privilege of the people who wait for the reception so as not to leave them outside for a long time or in their case that they have to wait at the right time.

    º The lack of adding custom fields is very serious, because I not only want to have the basic fields that this application shows, but also for a long time I want to ask certain special questions that Envoy does not have, since for example I could add a question that would allow me to filter more easily to people who enter. Also, I would like to have the ability to delete some fields because you can't either and it's annoying that all visitors have to fill them out and the truth is that it's not always necessary.

    º It has delays sometimes and it is annoying both for my company and for the visitors because they have to wait for everything to load as it should always be in order to continue with the flow of visits that normally has to be given. Another thing related to this is that there are problems that are not fixed right away but after the developers release an update, it is unlikely that they will have to wait for a problem to be fixed for a long time.

    Summary: Overall this program is a must have for return to work programs. I see the complaints on cost, but this is truly one of the better visitor management programs.

    Positive: Envoy is great at managing visitors and contractors in your workplace. The screening process is super easy and has become a normal morning routine for our office.

    Negative: Envoy could give just a little more for the analytical tab in terms of sign in data. I find myself exporting as CSV to do most of the data sorting.
