Effective & Efficient Truck Shop Management per Service Manager

    Date: Dec 01 2020

Summary: We started using FullBay almost 2 years ago to increase efficiency in the office and the shop. Our old way of doing time and completing tickets was on excel spread sheet & written stories transferred to an invoicing program. WHAT A NIGHTMARE! In the beginning, FullBay took some getting used to. It challenged us to change not only the way we think, but the way we do things. It is very streamlined in its processes which in turn caused us to streamline our processes in the shop. The first thing that we realized was how we handled tickets. By pen & paper, it would take 2-3 weeks for a ticket to get billed to a customer after the unit was repaired & delivered. Once we implemented FullBay, our tickets for customers are almost always ready at the time of delivery. Another huge advantage over the old way is that FullBay allows the Tech to see real time where or what is needed for the units he/she is repairing. At their fingertips they can see if the ticket is waiting on approval, waiting on parts, or if it is ready for the repair to be performed. This amount of instant real time information is readily available to all departments. You may not see it now, but that feature by itself will improve efficiency. For a service manager, collecting and reporting time can be very frustrating & long. FullBay has that so refined I have been able to pull time together for 7 techs in a matter of minutes… It used to take almost 2 days for 4 techs the old way. The software really gave us a clear process and picture from tech to parts to service to accounting. It has allowed our shop to grow from running 4 techs at an average of 100 ttl. hrs./week to 9 techs averaging over 250 ttl. hrs./week. We have had the space, but never the organization. I know we are not using all features (because there are so many) that are available, but we are slowing putting each one in place. As we have put them in place, we have found that our productivity, reliability, and communication has increased for the entire shop. This has lead to better moral & a better customer experience. The only downside I see for us in FullBay is that we were not using it sooner.

Positive: We are using FullBay across out whole organization. It has taken place of the the hand written, excel spread sheet, and accounting software we traditionally used and combined it into one neat organized software package. Our 2 biggest problems addressed were organization & paper work flow. FullBay is so well laid out that it just naturally led us to a better way of thinking.

Negative: We did not have access to this program when we started business in 2005.

    Fullbay from an Accountants View

    Date: Nov 23 2020

Summary: With Fullbay’s support staff always being available and seriously always finding answers to any questions or concerns we may have…I think I see my accounting wishes coming true in the future.
Simply put…If you need help getting and staying on track of your vehicle maintenance shop…
I highly recommend Fullbay…they have saved us soooooo much time and money.

Positive: I normally do not review products but feel compelled to let people know what a time and money saver Fullbay’s heavy duty truck repair software has been to our business. We have been using Fullbay for almost three years now.
I am the accountant for C&W Mechanical and our sister company C&W Global. Fullbay has definitely been a game changer from an accounting perspective. In the past, due to the software we were using, geared to the “trucking” side of our business, we manually entered all of the mechanical work orders into the trucking software. We then had to export the information to a spreadsheet, import it into QuickBooks, which left a lot of room for errors. Obviously, the prior process took a lot of time, which slowed down getting invoices to our customers, which slowed down our receivables…you get the picture. Fullbay allows us to invoice our customers immediately and our accounts receivables are therefore in a MUCH better place today.
We also struggled with keeping track of inventory, Fullbay has totally helped us to get and stay on top of our inventory 100%.

Negative: Obviously not everything is all-good with anything in life. I do wish Fullbay offered the ability to do more accounting functions within their software. We currently do a web connect between Fullbay and Quick Books---quick and very smooth process….however, I would love to be able to pay our vendors directly through the Fullbay software. We would then be able to run financials and not utilize QuickBooks at all.

Wish I Could Have Found it 5 Years Ago

    Date: Nov 21 2020

Summary: It is a very well-rounded program that doesn't waste your time with features that you will never use. The integrations make life easier and are not a huge headache to set up.

Positive: It is specifically for DIESEL shops and roadside service. It's not loaded up with a bunch of stuff that will never be used. VIN decoder works for tractors, trailers, straight trucks, and even chassis/containers. Customer service is ON POINT. I have yet to have an issue that was not FULLY resolved, usually on first contact. It is constantly being updated to accommodate user feedback and suggestions. I spend half the time I used to getting work orders and invoices out. The customer portal and vendor portals are excellent. Customers can view, print, and pay invoices as well as request service, which is sent directly to my phone. Vendors can receive parts orders, quote parts, and submit bills. Inventory was one of our biggest challenges, now we don't even think about it.

Negative: It is confusing at first, but once you go through the onboarding, it is a breeze to work with. I didn't find it sooner.
