IoTFileTracker is a comprehensive file tracking system for organizations that need real-time visibility into documents, folders, archives, and records. The platform uses file tracking software, barcode scanning, RFID tags, fixed antennas, mobile scanners, color-coded labeling, audit trails, and reporting to manage files from origination through final disposition. Staff can check files in and out by scanning barcodes or RFID labels, update locations as files move, request or reserve files, and view the latest known location from the software. RFID antennas can be placed at doorways, hallways, offices, desks, archive rooms, elevators, stairwells, and facility exits to automatically detect movement and update file locations. Mobile RFID scanners help users find misplaced files from a distance using beeps, cold-warm-hot visual guidance, and a 0 to 100 proximity index. IoTFileTracker also supports archive management, file room inventories, retention schedules, destruction workflows, offsite archive control, unauthorized removal alerts, and compliance reporting. Its Electronic Document Management System capabilities help organizations manage hybrid records environments that include both physical documents and electronic records. The system can integrate with backend data sources, auto-populate new records, support configurable fields, and run on trusted cloud platforms or internal servers. Description
Passive RFID provides an economical solution for tagging items during shipping and while on-site at a project. The operational temperature for these tags varies between -40°C and +90°C, depending on the specific model selected. Active RFID tags, which are frequently utilized as beacons for tracking asset locations, rely on an internal battery and offer extensive read ranges, even capable of functioning beneath snow and ice, with operational temperatures spanning from -40°C to +85°C. On the other hand, barcode labels remain a cost-effective and conventional approach to asset tracking. They operate through line-of-sight technology, requiring a scanner for reading, and each barcode must be scanned individually, making them both practical and affordable for various applications. However, the necessity for direct visibility can limit their efficiency in certain environments.
